Applications (Applying)

Our Team at Keith Williams Real Estate realise how time consuming and fiddly applications can be.  That is why we have decided to take our service to the next level and introduce to you the new and efficient TENANT OPTIONS.  Using Tenant Options you can create your own Renter Profile allowing you to apply for properties ONLINE free of charge.  In your profile your nominated referees will complete their reference request forms online via an email.  Our office will then review your completed application and give you a faster response for the properties you apply for.

All applicants must inspect the property before their application is approved.  Any person over 18 years of age who will be residing in the property must complete an application. You must provide formal identification.  A current drivers licence must be supplied as a form of ID along with current payslips or an employment contract which would be evidence of employment or any financial support statements that you may receive.

Please be aware there may be other applicants applying for the same property, therefore to prevent delays please complete your application and provide all your documentation prior to applying for the property.

Have any pets? 

You must complete a pet request form for any pets that will be at the property as part of your application.  You must complete a separate form for each pet and you must also provide your pet registration. For more information on pet registration please visit Pet Registration Information


Residential Rental Agreement

Once your application for a property is accepted you will be asked to sign a residential rental agreement and pay your bond and rent to complete your acceptance prior to moving into the property. A residential rental agreement is a legal contract between renters and residential rental providers for which there is no cooling off period. You will be offered a fixed term residential rental agreement, this type of agreement is usually for 6 or 12 months. Once the initial agreed term expires you may be offered a new fixed term agreement or it may roll over to a periodic lease.

We will make a time for you to come into our office where you will receive all the information and sign the residential rental agreement.  Please allow enough time for this appointment to enable our staff to go over the details of the agreement with you, for you to read it in full and have any questions answered to ensure you understand your obligations as a renter.  Alternate arrangements can be made if you are unable to come into the office during business hours.


Bond

You will be required to pay a bond for the property.  The bond money will then be held by the Residential Tenancies Bond Authority (RTBA).  The bond acts as a security for the residential rental provider in case you fail to meet the terms of the residential rental agreement.  Once payment of the bond is received our office will lodge the bond online directly to the RTBA and they will generate an email to you the renter/s with a link to review and accept the electronic transfer transaction details.


Collecting the Keys

On the commencement of your residential rental agreement keys will be handed over and signed for once all parties have signed the agreement, Bond Lodgement email link from RTBA accepted and all monies have been paid and the agreement has commenced.

An appointment will be made for you at the office at an agreed time on the day the agreement commences.  Keith Williams Real Estate partner with Rental Rewards – Zenith Payments, and this is the preferred payment option for our clients.  Renters register with Rental Rewards to make their rental payments.  This is a FREE service with no fees or charges when you sign up to pay your rent by direct debit from a bank account.  Our office are more than happy to assist you with setting up this facility.  Please be aware and allow three business days for your first initial setup payment for direct debit to become cleared funds into our trust account.

Condition Report

A condition report is provided at the commencement of the tenancy that includes the general condition of the property; including fittings, fixtures and any existing damage present upon moving in.  Our agency will send you an email containing a link to the condition report that is to be completed electronically by you (the renter).  There will be instructions and prompts along the way for you to check and make any relevant changes within the required time frame. The condition report includes photographs that have been taken of the property prior to the lease commencement and a report outlining the current condition of the property. These photographs are then used at the end of the tenancy during the final inspection; therefore it is important that you complete this report. If you (the renter) do not have an email address to receive this electronically, you will be provided two printed hard copies instead of the emailed link, with one copy to be fully signed and returned to our office to be kept on file.


Repairs & Maintenance

Urgent repairs such as burst water service, blocked toilet, roof or gas leaks, electrical faults and storm damage must be attended to immediately. The residential rental provider has 14 days to carry them out. If the damage was caused by yourself then you may be liable for covering the cost of repairs.

Vacating Advice

The minimum amount of time required for giving notice that you will be vacating a property is usually 28 days, however under certain circumstances this can be 14 days. Please see www.consumer.vic.gov.au/renting for current laws about vacating laws. Your residential rental provider must give you a ‘Notice to Vacate’ form in person or via registered post if they are ending the rental agreement before the agreed time. The minimum notice period can vary depending on circumstances – check www.consumer.vic.gov.au/renting for full details.

Our office requires a fully signed vacating form which is to be signed by all renters that are on the residential rental agreement.
